About WUPFleet

WUPFleet is a web-based portal developed for Wesleyan University–Philippines to modernize and centralize vehicle request and motorpool management operations. The system replaces manual, paper-based processes with a structured digital workflow.

Through role-based access, requestor can submit vehicle requests online, monitor real-time status updates, and check trip schedules. The Motorpool Administrator manages approvals, assignments, and digital trip records, while drivers receive organized trip details and monitoring support.

By integrating scheduling, tracking, and centralized record management, WUPFleet enhances accountability, reduces documentation loss, and improves transport coordination across the university.

Help Guidelines

This guide provides answers to frequently asked questions about using WUPFleet. Select your concern below to see detailed instructions.

Click “New User? Register” on the login page. Fill in all required details. After submission, your account must be reviewed by the Motorpool Administrator. You will receive an email notification once approved or rejected.

Click “Forgot Password” on the login page. Enter your registered email address. Follow the instructions sent to your email to reset your password.

  1. Log in as Requestor.
  2. Open the Request Form.
  3. Select trip date, destination, passengers, and purpose.
  4. Submit and wait for status update.

Status meanings:

  • Pending: Waiting for admin review.
  • Processing: Approved and being assigned.
  • Approved: Trip confirmed.
  • Rejected: Not approved (see reason).

Dates may be unavailable due to existing scheduled trips, maintenance schedules, or administrative restrictions. Check available dates before submitting your request.

The trip map becomes active only when the Driver starts location tracking. If tracking is not activated, the map will not display real-time updates.

Under Pending Requests, the admin selects an available vehicle and driver, then approves the request. The system generates a trip ticket which can later be uploaded after signing.

Drivers must log in using mobile view. Open assigned trip and click “Start Trip”. Click “End Trip” when completed.
