About WUPFleet
WUPFleet is a web-based portal developed for Wesleyan University–Philippines to modernize and centralize vehicle request and motorpool management operations. The system replaces manual, paper-based processes with a structured digital workflow.
Through role-based access, requestor can submit vehicle requests online, monitor real-time status updates, and check trip schedules. The Motorpool Administrator manages approvals, assignments, and digital trip records, while drivers receive organized trip details and monitoring support.
By integrating scheduling, tracking, and centralized record management, WUPFleet enhances accountability, reduces documentation loss, and improves transport coordination across the university.
System User Roles
WUPFleet operates through structured role-based access, ensuring accountability, control, and operational efficiency.
Requestor
Submits vehicle requests, track approval status, view schedules, and receive real-time updates regarding assigned trips.
Motorpool Administrator
Reviews and approves requests, assigns vehicles and drivers, monitors trips, and manages official trip records and reports.
Driver
Receives assigned trips, views trip details, updates trip progress, and supports operational tracking and accountability.

Vehicle Request Form
Digital submission of structured vehicle requests including trip schedules, passenger information, destinations, and required supporting documentation.
Trip Calendar
Centralized calendar interface displaying scheduled, ongoing, and completed trips to prevent scheduling conflicts and optimize resource allocation.
Request Status Tracking
Real-time monitoring of request progress across defined system stages including Pending, Processing, Approved, and Rejected.
Approval & Assignment Control
Administrative review and authorization of requests with structured vehicle and driver assignment management.
Trip Monitoring System
Location-based monitoring of active trips once tracking is activated, enhancing operational transparency and supervision.
Trip Records Management
Secure storage and retrieval of approved and completed trip records for reporting, auditing, and compliance purposes.

Angela C. Pablo

Help Guidelines
This guide provides answers to frequently asked questions about using WUPFleet. Select your concern below to see detailed instructions.
Click “New User? Register” on the login page. Fill in all required details. After submission, your account must be reviewed by the Motorpool Administrator. You will receive an email notification once approved or rejected.
Click “Forgot Password” on the login page. Enter your registered email address. Follow the instructions sent to your email to reset your password.
- Log in as Requestor.
- Open the Request Form.
- Select trip date, destination, passengers, and purpose.
- Submit and wait for status update.
Status meanings:
- Pending: Waiting for admin review.
- Processing: Approved and being assigned.
- Approved: Trip confirmed.
- Rejected: Not approved (see reason).
Dates may be unavailable due to existing scheduled trips, maintenance schedules, or administrative restrictions. Check available dates before submitting your request.
The trip map becomes active only when the Driver starts location tracking. If tracking is not activated, the map will not display real-time updates.
Under Pending Requests, the admin selects an available vehicle and driver, then approves the request. The system generates a trip ticket which can later be uploaded after signing.
Drivers must log in using mobile view. Open assigned trip and click “Start Trip”. Click “End Trip” when completed.
